1. What is the outgoing post procedure?
We have an outgoing postal service. All your mail can be franked in the general office and sent out that day.
Step 1
On any of your outgoing mail, write your office number in the top right hand corner of each envelope (otherwise reception staff will not know who the mail is going from).
Step 2
Hand to reception staff all your outgoing mail you want franked before 4:30pm.
We can do special delivery, recorded delivery and post overseas.
2. I want to forward my calls to an external number e.g. my mobile/home telephone number. What do I do?
1. You need to contact Alison in reception. 2. Let her know the number which you want your office telephone forwarding to. 3. She will then program the number on the main telephone system. 4. You will then have a button programmed on your telephone handset and be given instructions on how to use this, when you need it. 5. When you want to forward your calls (when you leave the office), press the programmed button on your handset. You only need to do this on your handset. 6. YOU MUST INFORM RECEPTION YOU WANT TO DO THIS. IT HAS TO BE ALTERED ON THE MAIN TELEPHONE SYSTEM FOR IT TO WORK.
3. How do I forward my calls to reception?
1. Press Function Key 5 on your handset. 2. Dial 1 to set 3. Key in the extension number you wish to forward it to. 203 is reception.
TO CANCEL 1. Press Function Key 5. 2. Press 0 to Cancel. 3. Lift and put down your handset.
YOU NEED TO DO THIS ON ALL THE HANDSETS IN YOUR OFFICE FOR THIS TO WORK.
